Event Reservations

Any GWSB faculty, staff, student or student organization may reserve space in Duquès and Funger Halls during normal building hours of operation.

Reservations are made through one of two channels: GWSB Facilities & Event Services or the university's Academic Scheduling office. In general, most reservations will be handled by GWSB Facilities & Event Services; see the detailed instructions on this page for further information. However, the following rooms must be reserved through the university's Academic Scheduling office:

  • Duquès Hall: 151, 152, 250, 251, 259, 359, 360, 361, 362
  • Funger Hall: 103, 108, 207, 208, 209, 210, 220, 221, 222, 223

Before reserving a space, please refer to the Duquès and Funger Hall Rooms chart to make sure your request is sent through the right channel. Failure to do so may result in your request being delayed or possibly denied.

When to Make a Reservation

It is always best to make reservations as far in advance as possible. In general, spaces become available for reservation 1-2 weeks before the start of the semester (see the university class schedule for more information). Rooms managed by GWSB will typically become available sooner than rooms managed by the university's Academic Scheduling office.

Please note: Regarding classroom reservations, we follow the university's Academic Scheduling guidelines and we cannot reserve classroom space for you until we know what the schedule of classes looks like for a particular semester. All requests to schedule events or non-class related activities in classrooms will therefore not be approved until the semester schedule is in place and all classes have been assigned to their appropriate classrooms. If a classroom has been reserved for an event or an activity, that reservation may be cancelled if that classroom is needed for teaching purposes.

How to Make a Reservation

GWSB Faculty and Staff

  1. Refer to the Duquès and Funger Hall Rooms chart.
  2. Make your reservation via GW’s Virtual Event Management System. To book rooms managed by GWSB, click here and choose the “GWSB Staff Space Request” option. To book rooms managed by the university's Academic Scheduling office, click here and choose the appropriate faculty/staff option. If you cannot access the event management system, please contact your office’s designated scheduler to book a room for you. If you are the designated scheduler for your office and do not have access to the event management system, please send us an email. In the meantime, please complete the Duquès/Funger Space Request Form and submit it via email.

Please note: reservations made within 48 hours of an event may not be made through the Virtual Event Management System; for these reservations, please complete the Duquès/Funger Space Request Form and submit it via email.

Non-GWSB Faculty and Staff

  1. Refer to the Duquès and Funger Hall Rooms chart.
  2. Make your reservation via GW’s Virtual Event Management System. To book rooms managed by GWSB, please complete the Duquès/Funger Space Request Form and submit it via email. To book rooms managed by the university's Academic Scheduling office, click here and choose the appropriate faculty/staff option. If you cannot access the event management system, please contact your office’s designated scheduler to book a room for you.

Individual Students

Students may reserve breakout rooms up two weeks in advance through the Virtual Event Management System. Students are permitted to reserve a breakout room for up to two hours per day. Reservations must be for at least two people.

  • Undergraduate Students may reserve the following breakout rooms on the 2nd floor of Duquès Hall: 253, 254, 256 and 257.
  • Graduate Students may reserve the following breakout rooms on the 1st, 5th and 6th floors of Duquès Hall: 153, 154, 562, 653 and 654.

Student Organizations

  1. Refer to the Duquès and Funger Hall Rooms chart.
  2. Make your reservation via GW’s Virtual Event Management System. To book rooms managed by GWSB, please complete the Duquès/Funger Space Request Form and submit it via email. To book rooms managed by the university's Academic Scheduling office, you must be assigned as your group’s student scheduler. Please contact the university's Center for Student Engagement.

Non-GW Organizations

The only spaces available to non-GW organizations within Duquès and Funger Halls are the rooms managed by the university's Academic Scheduling office. Non-GW organizations must make reservations here. Please do not contact GWSB Facilities & Event Services to make a reservation as your request will be denied.
